Rental Policies

A-1 Rental Vans Requirements

Anybody who plans on driving our vehicle must meet the following requirements:

  • 1. You must have a valid U.S. driver's license.
  • 2. Proof of current auto liability insurance.
  • 3. Collision coverage (either through your own insurance policy, through credit card coverage, or by purchasing our Collision Damage Waiver).
  • 4. You must be 21 years of age or above to drive our vehicle.
  • 5. You must be fit to drive. We will not rent you the vehicle if, in our judgement, you are inebriated, incapacitated, or otherwise incapable of driving our vehicle safely.

Insurance Policies

There are two kinds of insurance you need to have in place in order to rent our vehicles:

1. Liability Insurance

This covers any damage or injuries you may cause to someone else due to your fault or negligence. For instance if you go through a red light and hit someone, liability insurance will cover the damages to the other persons car, as well as any injuries they may have. Liability insurance does NOT cover damage to your vehicle.

2. Collision Insurance

Collision insurance covers collision damage to your vehicle (in this case the rented vehicle), regardless of who is at fault. So whether someone did a hit and run and dented your door in the parking lot while you were shopping for groceries, or you backed up into a telephone pole, either way collision insurance will cover you.

If you have both of these it's called "Comprehensive Insurance". Most comprehensive auto insurance policies will cover damage to rented vehicles, but you should always check with your carrier if you are not sure.

Vehicle Maintenance and Renterís Responsibility

A-1 Rental Vans requires all renters to report any warning lights in the van to us or take the van to the nearest dealership for inspection.

Mercedes-Benz Sprinters periodically need a refill of DEF (Diesel Exhaust Fluid). This fluid helps make the Sprinter very low emission and is better for the environment. You will get a warning light when a refill is required. DEF is sold at most auto parts stores and is inexpensive and easy to refill. Keep your receipt and we will, of course, reimburse you for the fluid.

The renters are responsible to maintain the cleanliness of the vehicle. The renter will be charged $250 for any spills or stains on the seats or the floor.

Renters must return the vehicle with a full tank of gas. Otherwise, we will charge $5/gallon to fill the tank. The renter also has the option to prepay for a full tank when picking up the car for $3/gallon. In this case, the renter does not need to return the car with a full tank.

Unfortunately for safety and liability reasons we do not supply snow chains and do not recommend you drive anywhere that requires snow chains. In the event of unexpected serious weather we advise you to stop and wait it out someplace safe. We also recommend that you avoid driving in areas prone to extreme snow storms (such as ski resorts). If you do use snow chains you do so at your own risk and any damage the vehicle incurs as a result will be your sole responsibility.

Mechanical Repair Policy

In the event of any mechanical breakdown, contact A-1 Rental Vans at 1 (847) 636-0469, 1 (847) 409-5800. If you can't repair the van in less than 36 hours, then you need to find a suitable replacement vehicle. We are not responsible for your new rental or trip interruption. We will terminate our rental agreement at the time of your mechanical failure and reimburse any unused days of your rental.

Occasionally there are situations where maintenance or repairs will be necessary. Should a mechanical repair be necessary during the course of your rental, please be assured that we will reimburse you for all authorized mechanical repairs, provided that the repair is not due to misuse of the vehicle or collision with a foreign object. Please present the receipts for all repairs when returning the vehicle. The renter must inform us of any repairs prior to servicing the vehicle. Repairs over $75 require our approval before they can be initiated (this is as much for your protection as ours).

Accident Policy

In the event of an accident, no matter how large or small, we require that you notify us first at 1 (847) 636-0469, 1 (847) 409-5800, and call 911. We also require you to provide us with a copy of the accident police report.

Prohibited Use

Do not drive our vehicles on unpaved surfaces or off road. Our vehicles are allowed in the U.S. and Canada. They are not allowed in Mexico. Prohibited use of our vehicle violates our rental agreement, voids all our liability and other insurance coverages, and makes vehicle subject to immediate recovery by A-1 Rental Vans. Please refer to the rental agreement.

Roadside Assistance

We have 24 hour nationwide road service. If you need emergency roadside assistance anywhere in the continental U.S. or Canada, simply call 1 (877) 373-9761. When you call the dispatch service, be prepared to provide the customer care representative the following information:

  • 1. Your name and the name of the rental car company.
  • 2. Vehicle make, model, and the last 10 of the vehicle identification number, located on the dash or on the driverís door jam.
  • 3. Exact location of the vehicle if known (street address, mile markers, etc.).
  • 4. Nature of the trouble (flat tire, wonít start, etc.).
  • 5. Phone number you are calling from.

Roadside assistance must be contacted to repair flat tires, as the renter is not authorized to fix flat tires on their own.

Tickets, Tolls, and Transponders

The renter is responsible for all tickets, violations, toll fees, and parking fees required by or resulting from the renter's use of the vehicle. We strongly urge our renters to pay all tickets etc., as they receive them. If we receive a ticket in the mail, we have one of the most generous policies in the vehicle rental industry: we will email you a notice with directions on how to pay the ticket yourself, with no extra charges from us. However if the ticket remains unpaid, we will charge a $50 administration fee to pay the ticket on your behalf.

Payment Policy

We accept cash, credit card, check, and Quick pay system.

A $ 250 deposit is due upon signing of the rental contract which will be held and returned upon the end of the rental period. Final payment is due immediately upon return of the vehicle and receipt of our final invoice.

The renter who guaranteed the reservation with their credit card expressly authorizes A-1 Rental Vans to process the credit card for any and all charges due under the agreement unless other arrangements have been made in advance.

Cancellation Policy

All cancellations made prior to one week of travel date will be charged 100 dollars and within one week will be charged 250 dollars. This fee includes the credit card processing fee, cancellation fee and administrative charges. All cancellations must be made by contacting our office directly.

Safety

We provide car seats for $8/day.

Our van has a high ceiling, so you are not allowed to use a drive-through and any parking garages less than 12 feet high and cannot accommodate the length of the van of 23 feet.

It is your duty to obey the traffic rules and regulations of the places you visit. Also we recommend you drive at a low speeds or stop in a safe place during windy or hazardous conditions.

Mileage Restrictions

There is a mileage limit of 250 miles per day. Any overage will be charged .33 cents per mile and collected when vehicle is returned.

Fuel Type

All Sprinter vans are diesel powered. Make sure you fill the tank with the correct fuel type.

Non Smoking Policy

Smoking is not allowed in our vehicles. Cigarette smells at return can cost $250 for cleanup and detailing fee.
